About This Policy

This Privacy Policy describes how Scout Labs HQ LLC ("Scout Labs," "we," "us," or "our") collects, uses, and handles information when you use Executive Scout, our AI-powered executive assistant service ("the Service"). By using Executive Scout, you agree to the practices described in this policy.

Executive Scout is currently in private beta. This policy is accurate to the current state of the product. We will update it as the Service evolves.

Information We Collect

Account Information

When you connect your Google account, we receive your name and email address from Google. We use this to identify your account and personalize your experience. We do not receive or store your Google password.

Google Gmail and Calendar Data

Executive Scout accesses your Gmail and Google Calendar data to generate your daily brief and identify priorities. Specifically, we access:

Email metadata and content (sender, subject, body) from your inbox
Google Calendar events, including titles, times, and attendees

We do not read emails from or send emails to anyone without your knowledge. No email is sent automatically on your behalf. Email content is processed by AI to generate summaries and recommendations — it is not retained indefinitely or used to train AI models.

Profile and Preferences

You may optionally provide additional information in your account settings, including:

Time zone and working hours
Job roles and responsibilities
Brief preferences and instructions for your daily briefing
A mobile phone number (if you opt into SMS notifications)

Usage Data

We log when the pipeline runs and basic diagnostic information (emails fetched, errors encountered) to maintain and improve the Service. We do not track detailed behavioral analytics at this time.

SMS Communications

If you opt into SMS notifications in your Executive Scout settings:

You agree to receive account-related text messages from Executive Scout, including daily brief ready notifications, task reminders, appointment reminders, follow-up reminders, and other account-related productivity notifications.

Message frequency varies. Message and data rates may apply.

Reply STOP to opt out of SMS messages at any time. Reply HELP for help. You can also disable SMS notifications at any time in your Executive Scout account settings.

Consent to receive SMS messages is not a condition of using Executive Scout or purchasing any service.

Mobile Number Privacy

Your mobile phone number is collected only if you voluntarily provide it and enable SMS notifications. We do not sell, rent, or share your mobile phone number with third parties for their own marketing or promotional purposes. Your number may be shared with service providers (such as our SMS delivery provider) solely to deliver the notifications you have requested.

How We Use Your Information

We use the information we collect to:

Generate your daily executive brief
Analyze and prioritize your emails and calendar
Send SMS notifications you have opted into
Maintain and improve the Service
Respond to your requests and provide support
Ensure the security and integrity of the Service

We do not use your data to serve advertising, build advertising profiles, or train AI models for third parties.

Information Sharing

We do not sell your personal information. We share data only in the following circumstances:

Service providers: We use third-party services (including AI providers and SMS delivery services) to operate Executive Scout. These providers process your data only as necessary to provide the Service and are not permitted to use it for their own purposes.
Legal requirements: We may disclose information if required by law or to protect the rights, property, or safety of Scout Labs, our users, or others.
Business transfers: If Scout Labs is acquired or merged with another company, your information may be transferred as part of that transaction. We will notify you of any such change.

Google API Data

Executive Scout's use of Google APIs complies with the Google API Services User Data Policy, including the Limited Use requirements. We access Gmail and Calendar data only to provide the core features of Executive Scout. We do not use this data for any other purpose, and we do not share it with third parties except as described in this policy.

Data Security

We take reasonable steps to protect your information, including encrypting OAuth tokens at rest. However, no method of transmission over the internet or electronic storage is completely secure. We cannot guarantee absolute security.

Data Retention

Executive Scout is in private beta. We retain your data for as long as your account is active or as needed to provide the Service. Email summaries and brief data are stored locally and are periodically overwritten. Relationship intelligence data stored in our database is retained until you request deletion or your account is closed.

Children's Privacy

Executive Scout is not intended for use by anyone under the age of 18. We do not knowingly collect personal information from children.

Changes to This Policy

We may update this Privacy Policy from time to time. We will notify active users of material changes by email or through the Service. Continued use of Executive Scout after changes take effect constitutes acceptance of the revised policy.
